Position Descriptions
UTAA President
Scholarship: Full In-State Tuition
Office Hours: 10 hrs per week
Total Involvement Hours: 320 per semester (average 20 hrs per week)
- Acts as chairman over the Alumni Ambassador Council.
- Assists and guides Alumni Ambassador members in their individual responsibilities.
- Training, Retreats, and Weekly correlation meetings.
- Participates as a board member of the Utah Tech University Alumni Association.
- Participates and conducts Alumni Ambassador council interviews along with the Alumni Board.
- Conduct Alumni Ambassador Council member interviews at mid-term.
- Maintains contact with Alumni Director/ UTAA Advisor.
- Prepares and files reports required. Included but not limited to:
- Write-up/ disciplinary actions
- Summary of Alumni Ambassador to Alumni Board
- By-Law and job description updates
- Maintains contact with other organizations throughout Utah Tech University
- Coordinate Alumni Ambassador member transitions.
- Remains fair and impartial during organization decision-making processes.
- Exemplifies vision and forward-thinking for the UT Alumni Association and Alumni Ambassadors and assists with strategic planning.
Chief of Staff
Scholarship: Full In-State Tuition
Office Hours: 6 hrs per week
Total Involvement Hours: 240 per semester (average 15 hrs per week)
- Acts as the administrative assistant to the Alumni Ambassador Council.
- Records and prepares council meeting agendas and minutes.
- Controls and updates calendaring system.
- Maintains Alumni Ambassador records and information.
- Manages ordering of necessary uniforms and supplies.
- Manages and trains Alumni Ambassador council members on methods & manage permissions in each software/program.
- Manages internal correspondence.
- Manages sign-in/ roll-taking at each Alumni Ambassador event.
- Tracks and records council member office hours and schedule.
- Performs other duties and assignments directed from the President, Advisor, and/or Alumni Director.
- Prepares binders for each council member before each semester’s retreat/orientation.
- Attends all required Alumni Ambassador meetings and events.
Programming VP & Directors

- Serves as an executive on the Alumni Ambassador Council.
- Supervises and motivates the directors, assistant directors and committee members under the Programming branch.
- Envisions and creates opportunities for students to connect with its alumni through time, talent, or treasure.
- Manages alumni relations efforts and works with their Alumni Board member counterparts.
- Attends all required Alumni Ambassador meetings and events.
DIRECTOR OF PROGRAMMING

- Acts as chairperson or coordinates events and Alumni Ambassador programming .
- Strategize and implement student and alumni engagement efforts and new ideas.
- Support and develop the Legacy engagement plan.
- Propose and develop new events that help foster school spirit.
- Implement activities that support the mission of the Alumni Ambassadors.
- Assist in all assigned Homecoming, D-Week, alumni events.
- Collaborate and mentor assistant director on programming initiatives.
- Propose new traditions, events, and activities that foster school spirit.
- Attends all required Alumni Ambassador meetings and events.
- Coordinate with Career Services on events and projects.
DIRECTOR OF ALUMNI ENGAGEMENT

- Protects and defends traditions.
- Engages current students, alumni, and community in events and traditions.
- Coordinates opportunities for students to learn of traditions.
- Finds alumni mentors in matching careers and expertise of current students looking for mentoring opportunities.
- Creates traditions-based events that engage current students and alumni.
- Assists in all assigned Homecoming & D-Week events.
- Connects with alumni and develops targeted events towards alumni groups.
- Collaborates and mentors assistant director on creating an engaging agenda.
- Attends all required Alumni Ambassador meetings and events.
Advancement VP & Directors
VP OF ADVANCEMENT

- Serves as an executive on the Alumni Ambassador Council.
- Responsible for ensuring effective development strategies.
- Recruits Advancement Committee members.
- Supervises and motivates the directors, assistant directors, and community members under the Advancement Branch.
- Proposes new ideas regarding advancement opportunities and coordinates with their Alumni Board counterpart.
- Attends all required Alumni Ambassador meetings and events.
DIRECTOR OF RECRUITMENT

Total Involvement Hours: 112 per semester (average 7 hrs per week)
- Responsible for communications and coordination with Alumni Ambassador members.
- Proposes new engagement opportunities member recruitment and retention.
- Assists and supports the Vice President of Advancement with Alumni Ambassador relations and advancement opportunities.
- Coordinates and plans Traditions Taxi program.
- Attends all required Alumni Ambassador meetings and events.
DIRECTOR OF CAMPUS RELATIONS

Total Involvement Hours: 112 per semester (average 7 hrs per week)
- Coordinates with student clubs and organizations on campus to encourage participation in Alumni sponsored events, programs, and activities.
- Assists and supports the Vice President of Advancement with Alumni Ambassador relations and advancement opportunities.
- Communicates other campus opportunities for Alumni Ambassadors participation such as, Student Life mid-week events, Taste Around the World, holiday campus events and more.
- Attends all required Alumni Ambassador meetings and events.
Public Relations VP & Directors
VP OF PUBLIC RELATIONS
Scholarship: Full In-State Tuition
Office Hours: 6 hrs per week
Total Involvement Hours: 240 per semester (average 15 hrs per week)
- Serves as an executive on the Alumni Ambassador Council.
- Responsible for all Alumni Ambassador marketing efforts.
- Maintains branding and promotions for Alumni Ambassador events, programs, and activities.
- Assists Alumni Association as needed with promotions, social media, and marketing of alumni events, program, and activities.
- Coordinates social media, print, email, and other publicity campaigns.
- Coordinates the development of content and updates for the Alumni Ambassador website and main alumni website as needed.
- Supervises and motivates the Director of Media Production/Graphic Design, Director of Social Media and PR branch assistant directors and members.
- Coordinates and assists with updating the Traditions App.
- Attends all required Alumni Ambassador meetings and events.
DIRECTOR OF MEDIA PRODUCTION

Total Involvement Hours: 112 per semester (average 7 hrs per week)
- Creates and designs digital and print media for all Alumni Ambassador events, social media, and other projects as assigned.
- Maintains and organizes design folders.
- Supervises assistant directors of media production.
- Attends all required Alumni Ambassador meetings and events.
DIRECTOR OF SOCIAL MEDIA
Scholarship: Half In-State Tuition
Office Hours: 3 hrs per week
Total Involvement Hours: 112 per semester (average 7 hrs per week)
- Plans, creates and publishes content on Alumni Ambassador social platforms.
- Assists in creation of content for Alumni Association social platforms as needed.
- Collaborates and mentors assistant director on social media tasks.
- Develops social media analytic reports.
- Responsible for photography and videography at events and activities.
- Creates and coordinates social media video/photo content as needed.
- Maintains and organizes all media (video/photo) in folders.
- Has an understanding of media equipment such as cameras, video editing software, etc.
- Collaborates and mentors the Assistant Director in creation of videos, photos, and editing software.
- Attends all required Alumni Ambassador meetings and events.
Assistant Directors
Assistant Directors
Scholarship: $500
Office Hours: 1-2 hrs per week
Total Involvement Hours: 65 per semester (average 4 hrs per week)
Assistant directors get the chance to shadow and learn from other Alumni Ambassador Council members allowing for growth and learning before taking on a leadership position.
